Team & Permissions

Team and permission settings let you control who can access a project and what they are allowed to do within it.

Use this area to invite collaborators, review who already has access, and manage roles as your team grows.

If your role includes role-management access, the Team settings page includes both Members and Roles & Permissions tabs.

To invite someone to your project:

  1. Go to SettingsTeam.
  2. Click Invite Member.
  3. Enter their email address.
  4. Choose the role you want to assign.
  5. Send the invitation.

Once the invitation is accepted, the person will be able to access the project based on the permissions included in their role.

From the team list, you can:

  • change a person’s role
  • remove someone from the project
  • review who already has access

This makes it easier to keep access up to date as responsibilities change.

Roles control what a person can do in the Studio.

Depending on the role, this can include permissions such as:

  • creating and editing entries
  • publishing content
  • managing content models
  • uploading and managing assets
  • changing project settings
  • managing team access

Choose roles carefully so people have the access they need without being given unnecessary control.

Projects can use both built-in roles and custom roles.

  • built-in roles give you a ready-made starting point
  • custom roles let you define a more specific set of permissions for your team

In the current Studio, built-in roles are marked as Built-in in the role list. Custom roles can be edited later, while built-in roles stay fixed.

If you have permission to manage roles:

  1. Go to SettingsTeam.
  2. Open the Roles & Permissions tab.
  3. Click Create Role.
  4. Enter a role name.
  5. Optionally add a description so teammates know when to use it.
  6. Select the capabilities you want this role to have.
  7. Save the role.

The create dialog is designed for more detailed permission work than a simple role picker:

  • capabilities are grouped by category
  • you can search capabilities by name, description, or category
  • you can select or clear everything in one step before refining the role

This makes it easier to build focused roles such as a limited editor, reviewer, or model manager without giving broader access than needed.

The Roles & Permissions tab lists every role in the project. Opening a role shows:

  • its description
  • how many capabilities it includes
  • the capabilities grouped by category

From there, custom roles can be edited to change their name, description, or capability set.

Built-in roles cannot be edited or deleted, so if you need a variation, create a custom role instead.

If you have permission to delete roles, custom roles can also be removed from the Roles & Permissions tab.

Because deleting a role is permanent, it is usually a good idea to move members to another role first and then remove the old one when it is no longer needed.

When you invite someone to a project, you choose their role as part of the invitation.

You can also change a person’s role later from the team members list. The Studio shows the selected role’s description in the dialog, which helps confirm that you are assigning the right level of access.

This is especially useful with custom roles, where names alone may not tell the full story.
