Tasks

Tasks help your team track work in the Studio. You can create tasks for yourself, assign them to teammates, leave them unassigned, and keep discussion attached to the work itself.

The Studio gives you a few places to work with tasks:

  • the Tasks card in the entry editor sidebar for tasks linked to the current entry
  • the main Tasks page for your assigned tasks and, for some roles, all tasks in the current environment
  • the Tasks & Mentions dashboard card for open tasks assigned to you and mentions
  1. Open the entry in the Studio.
  2. In the sidebar, open Tasks.
  3. Click Add Task.
  4. Add a title and, if needed, a description.
  5. Optionally assign the task to a teammate.
  6. Click Add Task.

You can also create tasks from the main Tasks page in the Studio.

  1. Open the Tasks page (for example from the Content section of your project).
  2. Click Add Task.
  3. Enter a title and, if needed, a description.
  4. Optionally assign the task to a teammate.
  5. Optionally turn on Link to Entry and choose a content model and entry.
  6. Click Add Task.

Each task uses one of these statuses:

  • Todo
  • In Progress
  • Complete

Opening a task shows its details, status, assignee, linked entry, and comments.

Task comments are for discussion that should stay attached to the task itself.

Use task comments when the conversation is about completing the task. Use Notes when the discussion belongs with the entry more generally.

Change requests are review feedback for an entry. They highlight what still needs to change before the entry is approved or moved forward.

In the current Studio flow, change requests are created when a reviewer uses a workflow action such as Request changes and adds feedback items during that step. Each feedback item becomes a change request linked to the entry, and reviewers can optionally assign it to someone.

Like other tasks, change requests stay open until someone with the right permissions marks them complete.

The Mentions page in the Studio collects mentions from:

  • notes
  • tasks
  • task comments

The dashboard also includes Unread Mentions so you can see how many unread mention notifications you have.

Permissions depend on your role in the project, but the current behavior follows these general rules:

  • people who can edit an entry can add tasks linked to that entry
  • for an entry-linked task, the task creator, the assignee, or someone who can edit the entry can update its status
  • only reviewers can create change requests through the review flow and mark them complete

Exact role names depend on how your project team is set up.

  • Notes — add internal discussion to a saved entry
  • Entries — create, edit, and localize entries
  • Team — who can edit and review
